Job Description Summary

The Admissions Assistant and Receptionist position is forward-facing. This position welcomes visitors to the institution and provides programmatic support. This position also provides administrative support for the Office of Undergraduate Admissions. Under indirect supervision and working independently, provides support for Admissions staff, the Admissions Office building, and visitors to the university.

Job Description

Essential Functions
  • Greets all visitors to the University, assesses needs, and quickly directs them accordingly.
  • Provides information and/or directions regarding the University and the surrounding community.
  • Provides programmatic support.
  • Assists with coordination and execution of Admissions events.
  • Places, answers, screens, and directs telephone calls – providing information or referrals as required; greets callers in a professional and friendly manner.
  • Responds in a timely manner to emails received; assists with responding to emails sent to the general admissions email address.
  • Knowledge of the University, as well as the policies and procedures.
  • Responds to requests for admissions materials.
  • Maintains complete stock of University and community publications, brochures, maps, events, etc.
  • Performs other related duties as assigned.
Required Education, Knowledge, Skills, Abilities
  • Associate degree and 3 years of professional administrative experience or equivalent combination of education and experience.
  • Must utilize professional phone etiquette – which includes the ability to effectively convey information and speak clearly, precisely and in a warm tone.
  • Must demonstrate good judgment and maintain composure during stressful situations.
  • Ability to utilize a high level of multitasking skills.
  • Data entry and retrieval skills.
  • General understanding of Wake Forest University and how it functions.
  • Organized, dependable, and detail-oriented.
  • Excellent verbal communication and warm interpersonal skills.
  • Must have basic knowledge of computer operations to include the use of email and web browsers.
  • Proficiency with MS Office suite, GSuite, and virtual meeting programs.
  • Ability to work in a diverse work environment; self-sufficient but also able to work as a team player.
Preferred Education, Knowledge, Skills, Abilities
  • Bachelor's Degree
  • Experience in Higher Education
Supervisory Responsibility

Responsible for own work.

Assists in providing training, work direction, and problem-solving assistance for student workers.

Authority/Accountability

Works under general supervision.

Reports to the Senior Associate Dean of Admission, Programming.

Physical Requirements

Sedentary work. Typing, talking, hearing, repetitive motions. Close visual acuity. Not substantially exposed to adverse environmental conditions.
