Position Summary

The Sociology Department in the College of Arts and Sciences seeks and administrative associate which will support the Director of the Graduate program and the undergraduate program. The position also coordinates all the files for potential graduate students and compiles various data for College needs. It also deals with all the under graduates declaring their majors and appointing advisors. This position is responsible for all travel reimbursement for the department and compiles and processes tenure promotions and retention files. It is also responsible for textbook orders.



Job Duties

Financial Responsibilities

• Plan faculty and graduate student travel, by making travel and housing reservations, as well as coordinating entertainment and dining arrangements.

• Maintain current knowledge of all department, college, and university travel policies and procedures.

• Process receipts and travel expenses for guests, faculty, and graduate student travel.

• Purchase department supplies and via purchasing cards and purchase orders.

Graduate Program Assistance:

• In collaboration with college level support staff, coordinate graduate school recruitment efforts by planning, organizing, and facilitating program activities.

• Answer incoming inquiries regarding graduate school requirements, policies, financial aid options, etc.

• Maintain, organize, and secure all graduate records.

Undergraduate Program Assistance:

• Add and drop students from classes by processing student transactions.

• Assist students in declaring undergraduate majors by aiding in proper documentation and procedure.

• Coordinate with faculty to print and distribute class rolls and 14-day roll sheets.

Administrative duties:

• Serve as front-line customer service support for walk-in customers, phone, and email inquiries.

• Assist department head in scheduling, communications, and other administrative tasks.

• Collaborate with faculty and department heads to complete tenure, promotion, and retention files.

• Oversee submission timelines and deadlines to properly track progress of faculty dossier submissions.

• Supervise work study students.

Qualifications :

Required Education

High school diploma with 3 years office experience.

Preferred Education

Associate’s degree with 2 years office experience in a university setting.

Full-Time Regular, Non-Exempt, Market Range 04
