The Tickle College of Engineering (TCE) at the University of Tennessee, Knoxville (UTK), is seeking an Academic Personnel Specialist interested in working in a team environment supporting Associate Dean for Faculty Affairs and the Associate Dean for Access and Engagement in the Office of the Dean.

Reporting to the Administrative Services Manager for the Tickle College of Engineering, the Academic Personnel Specialist will serve as the point of contact for the college to support the Associate Dean for Faculty Affairs & Engagement and provide administrative support to the Assistant Dean for Access and Engagement. This position will assist by being the subject matter expert for processes and procedures related to non-tenure and tenure track faculty. The position will be responsible for verifying accuracy of packets and forms, preparing memos/letters, assisting with interfolio, appropriately routing documents for signature and approvals, and end-to-end follow through on time sensitive submissions in process to ensure smooth and timely completion. This position will also provide administrative support to the Associate Dean for Faculty Affairs and the Associate Dean for Access and Engagement by completing special projects, assisting with events and workshops, coordinate calendars, prepare and submit reports, and general office support such as answering calls, mail, arranging travel, ordering supplies and preparing agendas.


Qualifications :

Required Education and Experience:

• A high school diploma or GED and three years of relevant administrative experience related to the position’s duties or a Bachelor’s degree with one year of relevant administrative experience related to the position’s duties.

• Ability to work independently and as a member of a team

• Excellent written and verbal communication skills

• Must be able to multi-task • Proficient in Microsoft Office including Microsoft Teams, Word, and Excel

• Ability to interact with a diverse group of individuals

• Good customer service skills • Flexible and adaptable

• Strong understanding of confidential issues

• Strong organizational skills to maintain deadline objectives

• Ability to learn new skills and software, as needed.

• Must be dependable • Ability to work occasional early mornings, nights, and weekends.

Preferred Education and Experience:

• Bachelor’s degree in a field related to the position’s duties

• SAP experience

• Experience in higher education.

• Experience with faculty searches, promotion and tenure processes and other faculty processes and procedures.
