JOB SUMMARY/ESSENTIAL JOB FUNCTIONS: The Administrative Associate II supports for Urology Department at UTHSC College of Medicine-Chattanooga with the administration of undergraduate medical education program, residency program, research, faculty scholarship and general administrative tasks.
DUTIES AND RESPONSIBILITIES:
- Assists faculty and residents with research and scholarly activities.
- Assists faculty and residents with the IRB process and serves as a liaison between the IRB and the department.
- Tracks scholarly activity in the department for ACGME reporting and Digital Measures reporting.
- Serves as departmental contact and support for medical students completing clerkship and electives.
- Maintains department chair calendar, meeting requests, web page updates, event approvals and logistics, and faculty time sheets.
- Schedules orientation, lectures, midterm evaluations, clerkship director advisory meetings, oral/written exams, and rotations.
- Assists Program Coordinator and Program Director(s) with the administration of the Urology residency program and Robotics Fellowship.
- Compiles and maintains student lecture series, data/contact information for each rotation and distributes information regarding incoming students to faculty and staff.
- Performs other duties as assigned.
Qualifications :
MINIMUM REQUIREMENTS:
EDUCATION: High School Diploma or GED.(TRANSCRIPT REQUIRED)
EXPERIENCE: Two (2) years of office experience preferably in a medical or university setting; OR Bachelor’s Degree in lieu of experience.
KNOWLEDGE, SKILLS, AND ABILITIES
- Ability to work with a diverse group of physicians, staff, and medical students.
- Excellent written and verbal communication skills.
- Ability to work with little or no supervision and to exercise good judgment and discretion in the performance of all work assignments.
- Computer experience in Microsoft Office (Outlook, Word, Excel, and PowerPoint), Microsoft Teams, One Drive, Zoom scheduling, hosting, and functionality for breakout rooms, and various software applications.
- Excellent organizational and multi-tasking skills to prioritize work to meet deadlines and handle urgent matters along with assigned duties and responsibilities.
