Required Qualifications

Education: Bachelor's degree with an emphasis in accounting, finance or related major. A combination of education and relevant work experience may be substituted for degree on a year for year basis.

Work Experience:
  • At least three (3) years of experience in research grant administration with working knowledge of the methods, procedures and techniques used in grant preparation, coordination, and implementation.
  • Experience in producing and/or administering federal grants (eg. NIH, HRSA, NSF, AHRQ, PCORI).
  • Experience utilizing Microsoft Excel, and Word.
  • Excellent communication as evidenced by application materials.


Preferred Qualifications

Education: Master's degree with an emphasis in accounting, finance, or related field.

Work Experience:
  • Five (5) or more years of experience in research grant administration.
  • Experience with eRA Commons and Huron web-applications.
  • Experience with both electronic and paper submission requirements.
  • Working knowledge of University of Kansas Medical Center policies and procedures, pertaining to external funding.
  • Experience analyzing and interpreting complex grant proposal requirements and make appropriate recommendations.
  • Experience with proposal development for large grant proposals like center grants and institutional training grants.

Skills
  • Excellent writing, editing, and grammatical skills.
  • Demonstrated ability to effectively organize, manage multiple tasks and work independently.



Job Duties Outlined
  • The PGA is responsible for managing all aspects of the pre-award process including identifying potential funding opportunities for KUMC research faculty, graduate students, and postdoctoral fellows, development of sponsored programs grant applications, tracking of applications, and coordinating Just-in-Time submissions.
  • This position must research, clarify, and interpret the practices and requirements of both the sponsor and University of Kansas Medical Center Research Institute (KUMCRI), and convey this information to research faculty, graduate students, and postdoctoral fellows, in a clear and concise manner.
  • The PGA will coordinate completion of research specific financial conflict of interest and conflict of interest training for faculty, graduate students, and postdoctoral fellows as needed for proposal submission and Just-in-Time information requests.
  • The PGA will work with the Department Assistant Director and the Vice Chair for Research in collecting, processing, and analyzing the award data for necessary reports. Develop workflow/interactive systems to streamline the receipt, review, and processing of grant proposals/applications/ contracts. Identify processes for greater efficiency and assist in redefining procedures for timely responses to proposals while adhering to a high level of regulatory compliance.
  • The PGA maintains working knowledge of external and internal grant policies and procedures including the current Electronic System-to-System (S2S) submission portal MySponsoredProjects (MSP), Employee Compensation Compliance (ECC) effort reporting system, and keeps abreast of current funding opportunities, policy changes, grant form updates.
  • The PGA will edit complex grant documents, including preparation, formatting, proofreading, and construction of tables, figures, and other graphics necessary for research grant proposals, reviewing sponsored project proposals for completeness of all required documents and compliance. Confirm that faculty, graduate students, and postdoctoral fellows have reviewed final submitted documents from MSP.
  • The PGA will assist faculty with NIH Public Access Policy to deposit manuscripts in NIHMS as needed and assist faculty with maintenance of myNCBI publications lists for grant proposals and progress reports.
  • The PGA will work closely with the Department Assistant Director regarding processes as Pre-award information will carry over to the department Post-award system. Meet with Assistant Director frequently to review processes and procedures for any necessary changes in order to keep systems efficient and accurate.
  • Performs other duties as assigned by the Vice Chair of Research and Assistant Director.


Identification of Funding Opportunities:
  • Research potential funding opportunities for faculty as time permits


Proposal Development:
  • Manages the pre-award submission process for Pediatrics faculty, graduate students, and post-doctoral fellows.
  • Acts as a liaison between faculty and Sponsored Programs Administration.
  • Serves as a resource to Pediatrics faculty in the areas of internal submission policies and procedures, sponsor requirements, and federal regulations.
  • Researches, clarifies, and interprets the practices and requirements of both the sponsor and University of Kansas Medical Center Research Institute (KUMCRI), and conveys this information to faculty in a clear and concise manner.
  • Analyzes funding opportunity announcements and creates application checklists to assist faculty with the preparation of required application components.
  • Creates timelines for faulty that consist of key dates leading up to submission in compliance with KUMCRI policy.
  • Meets with faculty to review timelines and required application components.
  • Requests and manages required documentation from subrecipient institutions.
  • Initiates and manages internal documentation for special circumstances (e.g., requests for investigator status, cost share memos, late proposal submission requests, etc.).
  • Assists faculty with the development of sponsor specific biosketches.
  • Provides faculty with application templates and relevant examples.
  • Assists faculty with budget development and composing budget justifications.
  • Creates and completes applications in the appropriate sponsor system.
  • Reviews all application components against sponsor requirements prior to submission to Sponsored Programs Administration.
  • Coordinates the internal review, approval, and submission process with Sponsored Programs Administration.
  • Advises Faculty and research personnel of revised regulations and institutional procedures that impact their research programs.


Just-in-Time:
  • Works with faculty to compile requested Just-in-Time information/documentation for sponsors.
  • Work closely with faculty and study personnel on development and submission of all regulatory documents including submission of study documents to the Institutional Review Board, collaborating with team members to ensure regulatory documents are completed and accurate.
  • Works closely with Sponsored Programs Administration who submits the information/documentation on behalf of faculty members.


Post Award Assistance:
  • Work with department Post-Award Grants Administrator and Grants Assistant to understand post-award processes and participate in cross-training to learn how to execute specific tasks when coverage is needed.

Compensation Statement:

The pay range listed for this position is determined by our compensation program using market data and salary benchmarking. A combination of factors is considered in making compensation decisions including, but not limited to, education, experience and training, qualifications relative to the requirements of the position, and funding. At the University of Kansas Medical Center, a reasonable estimate for the starting pay range will be the minimum to midpoint of the posted range, taking into account the combination of factors listed above.
