Job Purpose
Serves as Foundation accountant, University money manager, bank relations officer, industrial security officer, and contact for University related personal injury or damages for non-workman compensation claims. The Foundation accounting function is responsible for proper year-end and tax reporting and appropriate investment transactions.

Essential Functions
Assist in preparation of the June 30 year-end Financial Statements included as a component unit to the University financial statements. There are several investment and endowment related schedules and notes in addition to the basic statements. A separate statement with its own MD&A is also prepared each year for the governing foundation board. To ensure correctness of reporting for financial statements, this position must coordinate with Advancement, Business Office cashiers, and investment companies. Also assists with preparing a separate blended component unit statement for Tech Farms, LLC. This position also gathers data for and assists in preparation of the annual Foundation IRS form 990 and 990T. Prepares monthly sales tax returns for TTU Foundation. This position is the point of contact for departments on campus with questions related to foundation fund balances.

Serves as University cash manager. This function includes reviewing and monitoring of daily banking activities. These activities include verifying available monies to cover check and ACH presentments for University bank accounts and approving all ACH submissions by individuals in the Business Office. Any wires needed to be transmitted for investment purchasing or departmental request would also be conducted. The transfer of monies from LGIP needed to cover presentments and transfers of excess funds to LGIP would be calculated and executed by this position. Monthly items that would be covered include the submission of the payroll ACH file for direct deposit and, if needed, submission of accounts payable ACH files, and employee insurance coverage. This position would maintain banking relationship contacts and review monthly banking fees in accordance with banking contract. All vendor forms requiring banking information would flow through this position. Act as the lead on renewal of the banking contract as needed. Also includes cash management for Tech Farms, LLC. Activities would include daily cash monitoring, deposits for cattle and tomato sales, requests for payment to/from University for Procard, transfers of salary, and other similar items. Records ACH utility transactions and ensures backup documentation is provided by departments.

Point of contact for financial reporting of Tech Farms, LLC. Receipts and deposits any check transactions between the Foundation, University, and LLC. Prepares financial and budget information for Tech Farms, LLC Board of Directors as needed. Maintain all sensitive minor equipment and capital asset inventory for Tech Farms. Performs daily reconciliations for activity related to Golden Eagle Golf Course. This includes amortization of memberships, gift card reconciliation, and corrections. Works with Manager at GEGC to determine if other entries need to be made. Prepares financial and budget information related to the golf course for Athletic Director monthly and as needed.

Reviews and reconciles the monthly investment inventory listing, which is used in the University’s monthly bank reconciliation. Prepares monthly investment accounting entries. Reviews journals and money market data to analyze investment data trends. Coordinates with investment management company to obtain signatures on paperwork involving board member updates and
investment purchases and sales.

Prepares and records the quarterly distribution of earnings, annual LOA 1% fee assessment, the annual 5% spending allocation, and FMV adjustments. Updates all information and performs above transactions using endowment management software, where this position serves as administrator. Completes all entries related to transfers of cash between Foundation accounts and/or University accounts. Prepares Foundation management reports, semi-annual Foundation budget reports, and other reports as needed for the Foundation Board. Reviews activity and prepares reports as needed for Foundation as separated by departmental spending authority.

Perform miscellaneous reporting for Foundation – including NACUBO survey, annual reports for TTU Foundation, TTU Research Foundation, and Tech Farms, LLC, and annual Business Tax for Golden Eagle Golf Club. Responsible for claim administration from State of Tennessee Division of Claims for the University. Serves as Industrial Security Officer for the University (no at risk projects at this time). Performs other duties as assigned.

Minimum Qualifications
Bachelor’s degree from an accredited institution in Business Administration with a concentration in accounting, finance, or related field. Four years of full-time experience in a progressively responsible accounting position.

Preferred Qualifications
Master’s degree in Business Administration or Accounting. CPA. Higher Education accounting experience; Banner Finance experience; Banking, investments and/or accounting experience; Experience working with endowments; Tax reporting experience,
experience compiling governmental financial statements

Work Hours: Typical hours are Monday-Friday, 8:00 a.m. – 4:30 p.m. Additional hours if/when needed.

Salary: Commensurate with education and experience. Administrative Paygrade 47.
