Administrative Services Coordinator II

Job Purpose
The overall purpose of this job is to be the administrative support contact for all non-budgetary aspects of a department's daily routine and manage the department offices that are under this position's supervision. This job consists of a full range of standard and non-standard clerical assignments and the need for problem solving for the department.

Essential Functions
Serve as administrative support for the department which may include purchasing through EagleBuy, procard, etc. Receives, directs and assists visitors, prospective students & families, Chair, faculty, and students. Maintain Chairperson calendar. Assist all undergraduate and graduate students with any academic/registration needs related to their plan of study while maintaining student files with all appropriate paperwork or spreadsheets. Assist with course scheduling each semester, permits, room reservations, book orders, and SOAR Orientation. Assists with all external/internal communications and meetings with advisory boards or faculty meetings. Supervise, assign, and assist with payroll for all student workers for the department or departments, other events, etc. and approve time in Job portal or TCP as necessary. ABET/SACSCOC support as needed. Works closely with the Financial Associate 6, Chair, and other department employees. Such other duties as assigned: event support, outreach activities, tenure & promotion dossier committee support as necessary, People/Admin hiring process, etc.

Minimum Qualifications
High School diploma or equivalent. Two or more years of related professional experience. Excellent interpersonal and communication skills with the ability to express ideas clearly and concisely. Ability to establish effective working relationships with students, faculty, staff, and external constituents with a variety of personalities. Ability to handle confidential files and information. Displays initiative in completing tasks without direct supervision. Requires computer and software knowledge to include Microsoft Office – Word, Excel, Outlook – and the ability to develop spreadsheets, reports, and manage scheduling and appointments.

Preferred Qualifications
Preferably has experience with Banner, Argos, People/Admin, TCP, Coursedog, and/or Eagle Buy.

Work Hours: 8:00-4:30 M-F

Salary: Commensurate with education and experience. Minimum starting salary $30,000.
