Job Description Summary

The Coordinator for eLearning Services coordinates and supervises the scheduling and promotion of courses in a variety of distance modalities including online asynchronous, hybrid/online, synchronous remote courses. Manages and implements all parts of the quality assurance process for online asynchronous/hybrid courses including faculty professional development, course development and other associated processes. Manages the eLearning LMS orientations with the Manager, TTMD and Coordinator Online Student Support Services for faculty and students, serves as the eLearning Services office manager. In the absence of the Executive Director for TLT and Director, eLearning Services, serves as the point-of-contact for eLearning Services.

Minimum Qualifications

EDUCATION AND EXPERIENCE
  • One to two years of college credit (30 credit hours are equivalent to one year) or related certification
  • Minimum of three years full-time or part-time equated experience in distance learning or related field
  • Bachelor's degree preferred or equivalent experience

ESSENTIAL DUTIES
  • Supervise part-time work study students as needed.
  • Manage eLearning services office operations; coordinate office staff coverage, facilitate the maintenance and repair of office equipment and monitor supplies.
  • Manage all administrative functions of the quality assurance process for online asynchronous/hybrid courses including annual faculty professional development and OE prep, course development, course evaluation, track and monitor course reviews, maintain review reports and process reviewer payments and other associated processes
  • Coordinate all eLearning instructional technology training staff and faculty training with the manager, TTMD and coordinates equipment maintenance with appropriate DSIE staff.
  • Coordinate the communication of on-campus and online semester orientations for new eLearning services students; including room scheduling, printing, mass mailings, and coordinating with PGCC faculty, staff and other campus departments.
  • Coordinate the communication of on-campus and online semester orientations on the eLearning LMS for faculty and staff; including room scheduling, printing, mass mailings, and coordinating with PGCC faculty, staff and other campus departments.
  • Serves as eLearning point of contact for the Datatel colleague financial system responsible for processing eLearning services budget requests; prepares monthly budget reports and updates using the Datatel colleague system to initiate invoices, purchase requests and check requests,
  • Collect and organize budget information for reporting purposes.
  • Oversee the online course seat bank program through Maryland online, the Maryland state community college online consortium; liaise with PGCC and consortium faculty and consortium coordinators, communicate with students, track and report enrollments and ensure submittal of final grades.
  • Coordinate with academic departments, marketing and creative services office, registrar's office and eLearning services director to create, update, and monitor the scheduling of all eLearning courses in a variety of modalities including online asynchronous, hybrid, and synchronous remote.
  • Coordinate with the marketing and publications office and the registrar's office to ensure that eLearning services center information in the course catalog, schedule of classes, brochures and other college publications are accurate and complete.
  • Coordinate with academic departments, the registrar's office and eLearning services director to verify the accuracy of course offerings.
  • Prepare budget reports and use the Datatel colleague and other college required system to initiate invoices, purchase requests, and check requests; collect and organize budget information.
  • Prepare enrollment and other required reports for submission to state, federal and local agencies.
  • Promote eLearning services programs and courses to the campus community and general public via the eLearning services website, distribution of publications and other modes of communication.
  • Maintain copies of documented eLearning standards of procedures for all aspects of the eLearning operation.
  • Provide guidance on eLearning priorities, special projects and trainings; coordinate with human resources to ensure proper staffing levels, process hiring paperwork, conduct interviews and make hiring recommendations.
  • Collect, organize and monitor online course and enrollment information; maintain and update statistics database; prepare online course reports.
  • Communicate to eLearning services center staff all important deadlines, dates, and policy information.
  • Communicate eLearning services center news and information with students and faculty.
  • Consult with faculty and academic departments to preview and adopt new courses in a variety of modalities including online asynchronous, hybrid and synchronous remote modalities.
  • Participate in statewide eLearning services organizations to keep abreast of current trends and best practices.
  • Serve as liaison to academic departments; communicate with faculty teaching eLearning services courses.
  • Serve as the point-of-contact for eLearning services in the absence of the executive director TLT and director, eLearning services.

PHYSICAL REQUIREMENTS

Must have the use of sensory skills in order to effectively communicate and interact with other employees and the public through the use of the telephone and personal contact as normally defined by the ability to see, read, talk, hear, handle, or feel objects and controls. Physical capability to effectively use and operate various items of office related equipment, such as, but not limited to a, personal computer, calculator, copier, and fax machine. No significant climbing, stooping, kneeling, crouching, reaching, standing, walking, pushing, pulling, lifting, grasping, and repetitive motions.

  • Ability to communicate effectively in spoken and written standard English.
  • As required by the 1986 Immigration Act, be prepared to present acceptable documentation showing your identity and that you are a U.S. citizen or an alien who is authorized to work.
