Title: Director of Finance

Report: Head of School

Oldfields School, an all-girls international boarding and day school, grades 8-12 in northern Baltimore County, is looking for an experienced Director of Finance. This is an outstanding opportunity for a person with a high degree of integrity and interested in being an integral part of shaping the future of Oldfields.

The Director of Finance will be responsible for the management and oversight of all day-to-day finance, accounting, cash flow, and financial reporting activities. Furthermore, the Director of Finance will be responsible for the day-to-day administration of the human resources policies, procedures, and programs.

Business Office Responsibilities:

  • Manage business office operations, including accounting, accounts payable, student billing and collections, gift receipts, campus rentals, investments/endowment, physical plant, debt, net asset classification, and internal controls.
  • Ensure compliance with appropriate GAAP standards and regulatory requirements.
  • Maintain the monthly account reconciliation process and ensure timely completion and review.
  • Manage cash flow and debt obligations.
  • Manage monthly reconciliation of investments, endowment reporting, and restricted fund balances.
  • Reconcile gifts and pledges monthly with Development reports.
  • Manage and administer all aspects of payroll to include payroll database management, payroll processing, reporting, and reconciliation.
  • Respond to and assist with questions and concerns regarding payroll related matters.
  • Supervise Business Office Associate in their role of day-to-day handling of receipts and disbursements.
  • Manage annual insurance renewal process.
  • Liaison with external attorney regarding School-related matters.
  • Manage annual financial audit, 990 information return, and other required filings.
  • Participate on the internal Admissions Committee for the approval of financial aid.
  • Manage annual budgeting process, including coordinator with department managers.
  • Participate on the Board Finance Committee.
  • Prepare financial reporting materials for trustee meetings, trustee committees, government entities, donors, foundations and others.
  • Engage in strategic planning with the Head of School, Board of Trustees, and Administrative Team. Prepare financial analyses in support of strategic plans.
  • Analyze financial data and present financial reports in an accurate and timely manner.
  • Ensure compliance with asset capitalization and depreciation policies.
  • Establish, monitor, and enforce internal controls procedures within the Business Office and the School.

Human Resources Responsibilities:

  • Maintain employee information in personnel files and employee data with third-party administrators.
  • Manage and coordinate all employee benefit plans (health, dental, vision, HSA, Life/AD&D, LTD, retirement, etc.) with third-party administrators.
  • Assist Department Heads with recruitment and onboarding.
  • Ensure compliance and maintain files of all employee, subcontractor, and volunteer background checks and driving record checks.
  • Assist with development and editing of job descriptions.
  • Assist Department Heads with employee relations.
  • Support Department Heads and Administration with employee issues, provide assistance with disciplinary processes and follow through. Attend meetings as needed and appropriate.
  • Respond to and assist with questions and concerns regarding benefits related matters.
  • Plan, organize, and direct annual benefits open enrollment.
  • Serve as liaison between the School and benefits insurance broker.
  • Ensure adherence to local, state, and federal laws and regulations governing the employment relationship.
  • Process workers' compensation claims and follow-up with employees.
  • Respond to unemployment claims.
  • Administer FMLA and leave processing and paperwork.
  • Maintain compliance with 401(k) plans and completion of the 5500 Forms annually.
  • In collaboration with other Administration, review, revise, and update Employee Handbook, adhering to regulatory requirements and employment laws. Provide interpretation to supervisors and employees as needed.

Other Responsibilities:

  • Develop strong working relationships with administration, faculty, and staff, providing advice, guidance and coaching as needed.

Qualifications:

  • Bachelor's Degree in accounting, finance or business administration (CPA a plus).
  • 5+ years of relevant accounting experience.
  • 3+ years of relevant human resources experience.
  • Experience in an independent school or nonprofit environment preferred.
  • Excellent written and verbal communication.
  • Strong analytical and problem-solving skills.
  • Ability to handle sensitive and confidential information with discretion.
  • Self-motivated and ability to work independently.
  • Ability to organize and complete multiple tasks simultaneously with close attention to detail.
  • Experience with accounting and payroll software.
  • Proficient with Microsoft Office and G Suite software.
  • Remain active for an eight hour shift and sit upright for long periods of time.
  • Ability to work a flexible schedule during busiest time periods.
