The UConn Library seeks a proactive and detail-oriented Head of Administrative Services. Reporting to the Assistant Dean for Library Administration, the Head of Administrative Services supervises one full-time employee, and is responsible for the day-to-day administrative and human resources functions for the UConn Library.

The successful candidate will have excellent organization and communication skills and actively demonstrate effective leadership, professional judgment, interpersonal skills and decision-making practices. Along with all UConn Library personnel, the Head of Administrative Services will clearly demonstrate the principles of diversity, equity, inclusion, accessibility, and justice.

Responsibilities

  • Coordinates all UConn Library administrative services operations, workflows, and record management functions. Provides process analysis and evaluation, develops recommendations, and implements improvements to assure delivery of quality administrative services. Ensures consistency across the library and alignment with organizational values and priorities.
  • Is knowledgeable in and provides information to library staff regarding the interpretation and application of policies and regulations governing human resources activities and functions. Serves as functional knowledge manager, providing coordinated and knowledgeable communication concerning University policies as stated under the offices of Diversity and Equity, Human Resources, Payroll, Student Employment, and University Compliance.
  • Has an in-depth knowledge, understands and keeps current in Human Resources management. Initiates, reviews, and/or approves documentation necessary for all personnel actions and assures compliance with federal, state, and University policy, regulations, and collective bargaining agreements. Reviews records and data for accuracy, reconciles differences, and works with other staff and University offices to identify errors and make corrections.
  • Supports, develops, and implements resolutions for a full range of complex administrative matters; analyzes and makes recommendations on library administrative policies and procedures, thoughtfully communicating potential short and long-term effects. Communicates information on administrative policies, procedures, and programs library wide.
  • Coordinates the administrative workflow for the Library’s Promotion Review Advisory Committee.
  • Directs, plans, and communicates Administrative Services efforts in alignment with UConn Library priorities, resources, and services. Resolves the most difficult or unusual situations presented to the unit and serves as primary resource for library staff, University offices, academic departments, and outside agencies regarding unit work.
  • Compiles data and prepares reports used to monitor or assess unit activities, programs, and services or project future needs.
  • Oversees the maintenance and modification of complex filing and record keeping systems.

  4. Follows the Performance Management Guidelines as outlined by the Library, Human Resources, and the staff member’s contractually specified evaluation process.
  5. Provides training and assistance to each direct report. Supports involvement in professional development activities and provides internal development opportunities as appropriate to each position.

Minimum Qualifications

  1. Bachelor’s degree in a field relevant to the position and a minimum of three years related professional experience or an equivalent combination of education and experience.
  2. Demonstrated ability to plan and prioritize with specific strength in delivering accurate detail-oriented work.
  3. Demonstrated knowledge of and commitment to the principles of diversity, equity, inclusion, accessibility, and justice, and ability to integrate the principles into daily work and decision making.
  4. Demonstrated commitment to customer service and strong interpersonal and oral and written communication skills.
  5. Demonstrated critical thinking, multi-step processing, and problem-solving skills, with the ability to manage and support change.
  6. Demonstrated strength in maintaining confidentiality and managing sensitive information.

Preferred Qualifications

  1. Demonstrated success in project management.
  2. Demonstrated ability to supervise based on inclusive management practices.
  3. Advanced interpersonal and oral and written communication skills.
  4. Demonstrated success developing recommendations for and implementing new or improved services or resources.
  5. Demonstrated success in interpreting and communicating policies & procedures.

This is a full-time, hybrid position based on the UConn Storrs campus. The University offers a competitive salary, outstanding benefits, including employee and dependent tuition waivers at UConn and a highly desirable work environment. Salary is dependent upon education, qualifications, and experience.
