Essential Job Functions
  • Oversees all pledges and gifts received for the university and maintains that they are documented and processed accurately and promptly
  • Manages various reports to support processes such as; payroll deduction, matching gifts and gifts-in-kind while maintaining the integrity of these efforts and makes corrections, as needed
  • Creates, refines and maintains a variety of reports which includes the performance within the division for distribution to senior leadership as well as distributes the gift reports to departmental staff
  • Works directly with other university departments to reconcile transactions processed by the department on a monthly, quarterly, and annual basis
  • Oversees the data extraction of mailing lists, gift data, email lists and other data requests in collaboration with applicable university departments
  • Assists with coding of event attendance, giving society membership and data hygiene
  • Supports the guided review of business rules and system management when working with external vendors
  • Builds queries and maintenance reports to maintain data integrity alongside department members
  • Establishes and maintains the flow of data to and from other data systems the Customer Relationship Management (CRM) system to maintain that data is usable and reportable
  • Establishes that procedures are developed and maintained allowing for end users of the system to be provided with ongoing support and trainings as well as responds to end user questions
  • Provides data and gift entry support for all customer relationship management (CRM) functions
  • Reviews all correspondence resulting from pledge and gift entry for completeness and accuracy before distribution
  • Designs and coordinates the implementation of stewardship and prospect/donor relations strategy, as well as develops standard operating procedures to maintain compliance in collaboration with applicable departments
  • Creates and maintains strategies and relationships with prospects and/or donors to enhance scholarship and other giving
  • Guides personalized donor outreach through the use of data and the creation of personalized stewardship strategies
  • Collaborates with other members of the department on drafting and disseminating annual donor impact reports for scholarships and program funds
  • Prepares and monitors departmental budget
  • Supervises and develops the department staff, facilitating professional opportunities to improve individual capability and managing performance against job accountabilities, department goals and established university, campus and department policies and procedures
  • Supervises and manages student employees, as necessary, to enhance their academic and professional development
  • Performs other duties as assigned
Required Qualifications
  • Minimum of a bachelor's degree
  • Moderate amount of experience working in advancement data and gift management or other related experience
  • Proficiency in Microsoft programs, specifically Excel and Access
  • Knowledgeable in financial regulations as it relates to philanthropy
Preferred Qualifications
  • Bachelor's degree or greater in nonprofit administration or a related field of study
  • Experience with Blackbaud/NXT, NetCommunity and stewardship management
