Job Summary

Under general direction, this position is responsible for providing a variety of administrative support to the Department of Religious Studies. Makes decisions using independent judgment, and originates new concepts or approaches, policies, and procedures, and directs their implementation. Requires knowledge of business administration and office practices and procedures in order to perform moderately complex duties in supporting operations of a department or unit. Coordinates and manages special functions and activities. May supervise and evaluate, as needed, the work of others and is accountable for the work of the unit.
  • Oversees and facilitates specific activities/assignments for the department.
  • Works alongside the Graduate Director with the reviewing of graduate applications and maintains filing systems and monitors efficiency.
  • Compiles and updates mailing lists of undergraduate and graduate students and sends announcements and communications throughout the academic year.
  • Maintains the department's website and Facebook page updates with news, fliers, and photos in conjunction with SIPA Marketing and Communications Team.
  • Serves as first point of contact, greets, direct students, and answer inquiries about the school. Answers and screens telephone calls.
  • Manages all departmental purchases. Orders supplies on a routine basis. Matches invoices to packing slips and validates deliveries.
  • Schedules complex appointments, meetings, and travel arrangements. Maintains calendars, and may schedule interviews for search process. Assists with the coordination of major events.
  • Coordinates and process travel arrangements and expense reimbursements for departmental staff.
  • Assists and advises, as needed, the department head and staff members of budgetary and related problems.
  • Manages project-oriented activities including planning, initiation, coordination, implementation, and evaluation.
  • Interprets university and college administrative and fiscal policies and procedures. Interprets and provides recommendations on procedures for the department to improve administrative and fiscal operation for the office site.
  • Manages and reconciles departmental expenses including travel and other expenses using University's credit card. Submits requisitions and receives goods or services against purchase orders; creates travel authorizations and expense reports through the University's financial system. May process contracts in accordance with University purchasing guidelines.
Minimum Qualifications

Bachelor's degree and two (2) years of office or related experience providing administrative support, or coordinating functions of an office or department.
