Administrative Assistant to Advancement
The Administrative Assistant to Advancement provides support for the Advancement Office, working directly in support of the Assistant Head for Advancement and with the Stewardship and Advancement Services team. The Administrative Assistant manages the Assistant Head for Advancement's calendar; coordinates, tracks, and manages key projects that involve the Assistant Head for Advancement; generates gift acknowledgements and correspondence for key donors; conducts several functions within the advancement database; provides general office support; and handles special projects as needed. Key responsibilities include, but are not limited to:
Essential Duties and Responsibilities
- Preparing acknowledgment letters for gifts of $1,000 and higher gifts, gifts to special funds, and Honor/Memorial correspondence;
Maintaining donor letter filing system; - Drafting stewardship correspondence to scholarship and other endowed fund donors;
- Maintaining advancement office calendar, coordinating events between communications and development;
- Managing record updates and status changes, new records management, changeover of constituency codes, and entry of admissions decisions in legacy records in School's Blackbaud Raisers Edge database;
- Conducting day-to-day office functions, including oversight of office conference room, kitchen, and storage rooms, and management of purchase requisitions for the department;
- Serve as the office liaison to the technology department for office equipment and assist in running the technical aspects of virtual meetings;
- Coordinating and managing mailings and maintaining all postal accounts;
- Support the Gift Officers by helping to produce campaign materials for their visits; and
- Staffing key events such as Reunion Weekend, Spirit Weekend, Family Weekends, and other advancement events throughout the year.
Summary of Qualifications
- A bachelor's degree with a minimum of three years of related experience
- Proficiency in Microsoft Word, PowerPoint, and Excel, and in Google Suite productivity tools;
- Proficiency using databases with experience in Blackbaud Raisers Edge a plus;
- Strong written, verbal, and listening skills;
- Attention to detail and organizational skills;
- Knowledge of secretarial and office administrative procedures and the ability to operate standard office equipment;
- Personal belief in the mission of independent boarding schools; and
- Desire to join a high-functioning and collegial team.
