Program Coordinator – DACE and APSI

Reporting to the Director of Davidson Arts, this position is responsible for administrative support for the Davidson Arts & Creative Engagement program (75%), as well as the Advanced Placement Summer Institute (APSI) (25%) under the direction of the Director of the AP Summer Institute. The Advanced Placement Summer Institute is a College Board endorsed professional development program for AP high school teachers.

Position Accountabilities:

DACE:

Responsible for the management of the DACE Studio Office including scheduling and oversight of student employees, scheduling faculty classes and coordinate supplies needed, and ordering supplies for the studio, workshops and events. Coordinates the distribution of funds for grants to students and faculty (DACE) and grants associated with the Visiting Scholar and Artist Program (Bacca Foundation). Manages invoice payments for the Studio. Assists students and faculty with supplies ordering related to their grants, as well as fielding questions related to their grants' events. Responsible for submitting edits to the program website, WildCat Sync, and the Arts Season Calendar. Gather and track statistics on student, faculty, and staff involvement in programs and activities, survey participants, and run reports as needed. Coordinate the logistics of the annual DACE Advisory Board and manage annual updates to the DACE Handbook.

APSI:

The coordinator will assist the director in all aspects of the APSI program and will be trained to use Cvent, an event management and registration platform. Learn about the Davidson campus and building locations. Comfortable working independently in an office environment. Phone and email contact with the public and registered workshop participants. Must provide excellent customer service. Must exercise the highest level of discretion, good judgment, and attention to detail. Position involves data entry, website building and design. The successful candidate will demonstrate strong office skills, and a desire to learn various administrative processes.

Required Skills:

Excellent oral and written communication skills required with the ability to communicate in creative and adaptable style dependent on the audience. Proven technical aptitude including proficiency in Microsoft Office (Excel, Word, Publisher, Outlook) and Google (Google Docs, Google Sheets, etc.) suites required. Experience with the planning and execution of multi-faceted events, including registration. Must be a self-starter and able to use good judgment in decision making. Excellent customer service focus is essential to success. Must possess excellent organizational skills with keen attention to detail. This position requires the ability to lift 25-30 pounds. Minimal evening and weekend work may be required.

Experience with editing websites and Adobe Creative Suite preferred. Enterprise-wide financial system experience (such as Oracle, Banner, or Workday) preferred.

Bachelor degree and two years' relevant experience or equivalent experience required.
